6. Offering Deals
6.1 Last Minute Rates
To Create a Last Minute campaign:-

Choose the 'Rates :: Last Minute' option from the menu.
Any Last Minute campaigns you've run previously will appear, and can be edited, otherwise click 'new' to add a campaign.

Deal Name : The name to identify the campaign, presented when the guest mouses over the rate on the calendar. An optional (but recommended) field, because if you want to report on or copy or this deal, you must give it a name.

Copy Deal : Use an existing (named) Last Minute deal as template to copy from. However you must specify new stay dates, as these are not copied.

Room Inclusions : The room unit type provided as part of this deal.

Rate : The reduced nightly room rate. Please note the rate must be cheaper than current season's rack rate, or the lowest seasons rack rate if the deal spans several seasons.

Allot : The daily number of units allocated to the deal. To sell last minute accommodation, you must allocate at least one (1) room unit per day of the deal. For every day selected in the 'Stay Dates' (see below), the allotted number of units will be made available for credit card purchase, on the provision that:-
  • the room hasn't been marked as sold
  • the current allotment is lower or equal to this value
  • you haven't manually overridden the allotment value
Stay Dates : Stays must be taken on the dates selected. They don't need to be consecutive, and you can keep adding dates to the campaign as you see fit. Stay Dates for Last Minute Deals cannot overlap Stay Dates of other Last Minute Deals for the same room unit type. For example if you offer a Last Minute Deal on a Standard Room from Jun 1 - Jun 3, you can't create another Standard Room Last Minute deal from Jun 2 - Jun 5.
6.2 Packages
This function allows you to offer a fixed price on multiple nights of accommodation, although one night is OK if you're adding extras such as breakfast, champagne, chocolates, vouchers, etc. The price displayed is the total package cost, not a reduced daily rate (use last minute for this functionality).

Choose the 'Rates :: Packages' option from the menu.
Any Packages you've created previously will appear, and can be edited. Click the 'new' button to add a package.

Package Name : The name to identify the package, presented when the guest mouses over the rate on the calendar.

Copy Package : Use an existing (named) package as template to copy from. However you must specify new stay dates, as these are not copied.

Room Inclusions : The room unit type provided as part of this deal, and the number of nights.

Price : The total cost of the package deal. Note this is not a nightly rate, it's the amount the customer will pay in total for the package.

Allot : The daily number of units allocated to the deal. To sell last minute accommodation, you must allocate at least one (1) room unit per day of the deal.

For every day selected in the 'Stay Dates' (see below), the allotted number of units will be made available for credit card purchase, on the provision that:-
  • the room hasn't been marked as sold
  • the current allotment is lower or equal to this value
  • you haven't manually overridden the allotment value
If you allot rooms for a special, those allotted rooms can also be purchased in isolation. If you want the package to be available for immediate purchase (and thereby pay a lower commission), you must make sure these sold rooms are reallocated.

Stay Dates : Stays must be taken on the dates selected. You can keep adding dates to the Package as you see fit. If your Stay Dates are from Jun 1 - Jun 7 and the package includes 3 nights accommodation, the package will appear for sale until Jun 5. If booked on Jun 5, 3 nights will take the stay through until the last valid day, Jun 7, whereas if it was for sale on Jun 6, the package would extend beyond the last stay date.
